The Department of Public Works (DPW) is a dedicated crew responsible for pre-event setup, event maintenance, and post-event cleanup, embodying the "Leave No Trace" principle. This close-knit family contributes practical skills to tasks like repairs, fire safety, sanitation, and basic infrastructure. Serving as the workforce for constructing and dismantling physical infrastructure, DPW collaborates with LYS departments, leads, participants, and the community for the creation and disappearance of a LYS event. ๐Ÿ› ๏ธโœจ


EFFIGY

Effigy at LYS designs and places the effigy, recruits and oversees effigy-build teams, and ensures safety throughout. They handle equipment logistics, coordinate with authorities, plan the burn ceremony, and meticulously clean the site post-event. They ensure the successful creation and removal of the LYS effigy. ๐Ÿ”ฅ๐ŸŽจ

  • Create the design for effigy, plan out the placement

  • Recruit people for team, both for effigy build, strike and burn safety. Handle comms and onboarding with crew.

  • Procure, source and pick up the necessary equipment for creation and clean up of effigy

  • Perimeter, safety during build & strike

  • w/authorities lead or without; communications with fire department & possible inspections

  • Make needs overview, buy/source equipment, bring to/from island.

  • Set up or recruit ceremony and plan for burn, including burn out times.

  • Ensure all necessary traces are removed from site after event.

  • Ensure all necessary equipment is both procured and/or picked up at storage, and put back in an tidy order. Take inventory and update.

  • Power grid map based on placement & production needs.

  • Maintain generators, ensure safety & sound reduction, coordinate shuttling of generators from/to island, fuel (if necessary)

  • How much/how to use, ensure it is listed in survival guide & distributed to camps/community

  • Buy, rent & maintain all power supplies, coordinate shuttling to/from island. Calculate fuel necessity if this is covered by org

  • Ensuring all power supplies are in place, laid out, functional. Also strike. Monitor power during event to avoid frying the grid.

  • Checking current supplies inventory. Make needs overview, shopping & bringing supplies.

  • Set up & take down of practical lighting; docks, gate, pathways, toilets/water stations

  • Ensure all necessary equipment is both procured and/or picked up at storage, and put back in an tidy order. Take inventory and update.

  • Besides practical lighting, the location is suited for decorative lighting too.

Power, EL & Lights keep LYS well-lit and functional. Planning power grids, maintaining generators, and ensuring responsible power use are our priorities. They handle supplies, set up lighting, and keep everything in check during the event.๐Ÿ’กโšก

BUILD & STRIKE

Build&Strike is responsible for all repairs, construction, and dismantling, ensuring the site is prepared for participant arrival, overseeing production setup, and coordinating the pack-down process. This include readying buildings, helping content creators when possible and ensuring a Leave No Trace event. ๐Ÿš€โœจ

  • Create clear day-to-day plans, needs and necessities during build and strike. How many people needed, when they are needed etc. Also communicate with all necessary leads regarding their needs.

  • Recruit people for team, both for effigy build, strike and burn safety. Handle comms and onboarding with crew.

  • Host daily briefings and go through tasks list. Keep an overview of the daily progress and take necessary action

  • Pick up, procure or source all necessary build equipment, and return to storage or owner. Examples: Whiteboards, hammers, trolleys

  • Where these can be located, applications & educational comms

  • Check necessary structures; new or old - for safety measures

  • In collaboration with Placement, create the camping grounds outlines & fire-safe zones. Create a plan together for practical and possibly decorative approaches to the camping areas. Build/strike team will implement & execute plans.

  • In coordination with lead of Sanitation. Checking & ensuring status of the compost toilets pre-event. Take necessary action in coordination with location

  • Create signage for all aspects of event - coordinate with other leads about needs, procure materials necessary

  • In coordination with Ticketing & membership, receive and keep overview of all early access applications and the process

  • Recruit a team that is last of site, ensure enough vehicles.

  • Procure fluff stuff; food, hot drinks, etc for builders/strikers

  • Ensure all necessary equipment is both procured and/or picked up at storage, and put back in an tidy order. Take inventory and update.

LEAVE NO TRACE

Leave No Trace ensures timely checkouts, overseeing MOOP sweeps, and managing Lost & Found. This includes recruitment for the strike MOOP team, and crafting pre-event communications. From waste management info to donation stations, LNT is instrumental in sustaining our island's magic. ๐Ÿ๏ธโœจ

  • Create Lost&Found station and on site + post-event procedures, get volunteers (if necessary), sort, publish and donate lost & found after event.

  • Recruitment, coordination & onboarding of strike MOOP team who will sweep the island during strike.

  • Gathering information and creating the post event MOOP map.

  • Pre-event educational comms to all participants and for camps/content.

  • Research and distribute clear information regarding waste management, where there are recycling stations, ensuring the containers at the docks are not misused

  • Ensure all necessary equipment is both procured and/or picked up at storage, and put back in an tidy order. Take inventory and update.

  • Set up and handling of a donation station which only takes pant or other useful materials, deal with said pant and ensure the contributions end up at org

  • Recruit people for team, both for effigy build, strike and burn safety. Handle comms and onboarding with crew.
